Your trust matters - here's how we handle your info

Last Updated: November 4, 2025

Look, we get it - nobody actually reads these things. But we're gonna be straight with you about what happens with your personal info when you train with us. No corporate jargon, no nonsense. Just the real deal about how Crimson Vortex Realm handles your data.

When you sign up or train with us, we need some basics to keep things running smooth:

  • Personal stuff: Your name, email, phone number, address. Y'know, the usual contact info so we can reach you about classes or important updates.
  • Payment details: Credit card or payment info when you're paying for memberships or sessions. We use secure processors - we don't store full card numbers ourselves.
  • Health & fitness data: Any medical conditions, injuries, or physical limitations you tell us about. This ain't optional - we need to know this stuff to keep you safe during training.
  • Emergency contacts: Someone we can call if things go sideways during an intense session.
  • Training preferences: What you're into - MMA, kickboxing, strength work, whatever floats your boat.
  • Website activity: Basic stuff like your IP address, browser type, pages you visit. Standard web analytics to see what's working.

We're not selling your data to random companies or spamming you with garbage. Here's what we actually do:

  • Running the gym: Managing your membership, booking sessions, processing payments, scheduling classes.
  • Keeping you safe: Using your health info to create appropriate training plans and avoid injuries.
  • Staying in touch: Sending you class updates, schedule changes, or special training opportunities. We'll keep it relevant.
  • Making things better: Improving our programs based on what's working and what's not.
  • Legal stuff: Meeting our obligations as a business, handling liability waivers, insurance requirements.
  • Marketing (but chill): Occasionally sending you info about new programs or events. You can opt out anytime.

We take security seriously. Your info is locked down with:

  • Encrypted connections (SSL/TLS) when you're browsing our site
  • Secure payment processing through trusted third-party providers
  • Password-protected systems with limited staff access
  • Regular backups stored securely
  • Physical security at our facility - locked filing cabinets for paper records

Real talk though - nothing's 100% hack-proof. We do our best, but if there's ever a breach, we'll let you know ASAP and tell you what happened.

We don't just hand out your info to anyone. But there are a few situations where we gotta share:

  • Service providers: Payment processors, email platforms, scheduling software. They're bound by their own privacy policies and only get what they need.
  • Emergency situations: If you're hurt and we need to contact emergency services or your emergency contact.
  • Legal requirements: If the law requires it - court orders, investigations, that kind of thing.
  • Insurance purposes: Our liability insurance provider if there's an incident or claim.
  • With your permission: If you ask us to share info with someone (like a physiotherapist or nutritionist you're working with).

We'll never sell your personal info to marketing companies or random third parties. That's not our style.

Yeah, we use cookies. Not the edible kind, unfortunately.

  • Essential cookies: Keep the site working properly, remember your login, basic functionality.
  • Analytics cookies: Help us understand how people use the site so we can make it better. Google Analytics and similar tools.
  • Marketing cookies: Track if you came from an ad or promo so we know what's working.

You can disable cookies in your browser settings if you want, but some parts of the site might not work as well. Most browsers let you control this stuff pretty easily.

Your data, your rules. Here's what you can do:

  • Access: Want to see what info we have on you? Just ask.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your account and info? We can do that (though we might need to keep some stuff for legal reasons).
  • Opt-out: Don't want marketing emails? There's an unsubscribe link in every email, or just tell us.
  • Data portability: Under Canadian privacy laws, you can request a copy of your data in a usable format.
  • Withdraw consent: Change your mind about something you agreed to? Let us know.

To exercise any of these rights, shoot us an email at info@crimsonvortexrealm.info or call (604) 827-5940.

We don't keep your info forever. Here's the breakdown:

  • Active members: As long as you're training with us, we keep your info current.
  • Former members: We'll keep basic contact and membership history for about 7 years (tax and legal requirements).
  • Health & waiver info: Typically 7 years after your last session for liability purposes.
  • Marketing lists: Until you unsubscribe or we do a cleanup (usually every couple years for inactive contacts).
  • Financial records: 7 years as required by Canadian tax law.

After these periods, we'll securely delete or anonymize your info unless there's a legit reason to keep it longer.

Our programs are designed for adults 16 and up. If you're under 18, we need parental consent before you can train with us.

For youth members (16-17), parents or guardians need to sign off on all waivers and health forms. We'll communicate with both the member and their parent/guardian about important stuff.

We don't knowingly collect personal info from anyone under 16 without explicit parental consent.

We sometimes take photos or videos during training for marketing, social media, or promotional stuff. Here's the deal:

  • We'll always ask for your consent before using your image publicly
  • You can opt out anytime - no hard feelings
  • If you're in the background of a group shot and it's posted, that's generally considered okay, but let us know if you want it removed
  • Training footage used for coaching purposes stays private unless you agree otherwise

If you post about us on social media and tag us, we might share or repost it. Cool with you? Awesome. Not cool? Don't tag us.

Our site might link to other websites - nutrition resources, equipment stores, partner organizations, whatever. Once you click away from our site, we're not responsible for their privacy practices.

Do yourself a favor and read their privacy policies if you're concerned about how they handle your data.

Laws change, our business evolves, so this policy might get updated from time to time. When we make significant changes, we'll let you know via email or a notice on the website.

The "Last Updated" date at the top of this page tells you when we last made changes.

Keep training with us after an update and you're agreeing to the new terms. If you're not down with the changes, let's talk about it.

Got questions about this policy or how we handle your data? We're here to talk.
